How do you organize yourself at work at the moment? Do you use a project management tool or something similar? So, how do you stay on top of your projects?

I have tried many different methods.

Normally, I would say that’s what CRM is for and you can work very well with tasks, notes and reports in both Salesforce and Hubspot.

Depending on the company culture, however, it can also make sense not to have too many notes and specific tasks in the CRM so that you are not immediately replaced as soon as things don‘t go well.

Personally, I have a combination of:

  1. I take handwritten notes in every customer meeting

  2. I summarize core content and agreed next steps in an email that goes to the customer/prospect and these are therefore also logged in the CRM

  3. I have a report with my deals where I can immediately see what stage they are in. As time is currently my biggest problem and not the number of opportunities, my focus is always on the deals that have progressed the furthest. I check this report almost daily and always have a clear understanding of the current status and next steps of my most important deals.

  4. I use my calendar for time management and reminders. I color block my calendar and create to-do’s for follow-ups in a certain color and work through them consistently.

In my experience, the system has to be simple and hold up in practice. Some AEs have such a complex task management system that maintaining it is almost like a part-time job.

Of course you want to take the best possible care of your deals, and you should.

But if you work well, you shouldn’t be too afraid of forgetting tasks, because if a customer wants to buy after good discussions and clear next steps or wants to continue with the process, they will let you know.
